Annual Awards

Nomination Guidelines

There are several annual awards in 2009 to recognise and reward outstanding efforts by CSE Clubs and Societies and their members. These awards will be presented at the combined end of year C&S event. Clubs and Societies will be responsible for nominating each other for these awards. For 2009 the awards available include:

    1. Campus Engagement Award (1st, 2nd & 3rd place)

      • This is a series of awards that recognise and reward outstanding events/ services run by Clubs on campus that contribute to the UOW campus community and actively contribute to the “UOW student experience”.

    2. Club of the Year (1st)

      • This award is given to a Club or Society who is deemed as an outstanding organisation in the year of judging. This award is determined by the Clubs Award Committee and two or more external judges.

    3. Club person of the Year (1st)

      • Awarded to a person for outstanding service to their particular Club or Society.

    4. Service Club of the Year (1st)

      • Awarded to a Club or Society for outstanding service for Fundraising and/or Voluntary Community Service Efforts.

Any member of a CSE affiliated Club or Society is eligible to nominate a person or a club for their outstanding work in 2009. All UOW staff are also eligible to nominate. Those eligible to nominate can make up to two different nominations in each award category.

To make a nomination read the Award Guidelines (included in this pack) and complete the relevant nomination form (attached below). Ensure you include as much detail as possible to support your nomination. A written statement should be provided with the nomination, which details what the club/society or person has done in 2009. Other supporting documents, such as club minutes, photographs, media releases etc will also be considered where relevant.

Application Guidelines and Procedure

Name of the Awards

    1. These awards shall be known as the CSE Clubs and Societies Annual Awards.

Award Categories and Prizes

    2. The award categories shall be:

      • Campus Engagement Award (1st, 2nd & 3rd place)

      • Club of the Year (1st)

      • Club person of the Year (1st)

      • Service Club of the Year (1st)

    3. Each award shall consist of a prize as determined by the Clubs Support Committee of that year. Prizes may include cash, funding, merchandise or any other prize as the Clubs Support Committee sees fit. Each award winner will also be awarded with a certificate, which will be presented at the annual awards ceremony, and their club/name entered onto the relevant award register/board/cup/trophy/plaque.

Awards Committee

    4. There shall be an Awards Committee consisting of:

      • At least 4 Support Committee Members

      • 1 CSE Clubs Coordinator and/or 1 CSE Representative

      • 1 or more (Student or UOW Staff) UniCentre Director

    5. Each member of the Awards Committee shall have equal speaking and voting rights, except the Clubs Coordinator /CSE Representative – who shall not vote, except in the case of a tied vote. In the event of a tied vote, the CSE Clubs Coordinator or their representative may cast a deciding vote.

    6. Applications for each award shall be judged by the Awards Committee, who shall determine winner(s) (if applicable) for the Campus Engagement Awards, Club Person of the Year award and Service Club of the Year Award.

    7. Applications for the Club of the Year award shall also be judged by the Awards Committee, with the addition of at least two (2) additional Guest Judges, who are to be selected by the committee. The Guest Judges may include (but are not limited to) members of UOW staff, successful local businesspeople, Justices of the Peace and Members of Parliament.

Nomination Process

    8. Any member of any CSE affiliated Club or Society, and any UOW staff member may make up to two (2) nominations in each award category. Each nominator shall complete the relevant nomination form in full, and submit it before the advertised deadline for the nominee/club to be considered.

    9. Nomination forms are to be submitted via hard copy to the CSE Clubs & Societies Office.

    10. Nominations will close on Sunday 11 October 2009 (Week 10)

    11. Each nomination must be seconded by any member of any CSE affiliated Club or Society or any member of UOW staff.

    Judging of the Awards

    12. The awards/prizes shall be awarded on the following criteria:

    a) Campus Engagement Award (1st, 2nd & 3rd place)

      • This is a series of awards that recognise and reward outstanding events, projects and/or services run by Clubs on campus that contribute to the UOW campus community and actively contribute to the “UOW student experience”.

      • Factors that will be considered by the Award Committee will include (but are not limited to): Event or project type; originality/development of idea; location and timing; content and delivery; attendance and/or reach of the project/event; and overall success of the project/event.

b) Club of the Year (1st)

      • This award is given to a Club or Society who is deemed as an outstanding organisation in the year of judging.

      • Factors that will be considered by the Award Committee will include: Success of achieving the club’s mission statement and/or club goals as stated in the club’s constitution; achievement of club’s goals/targets for the year; commitment of club executive/committee members to the club; commitment/involvement of members in club activities; use of teamwork and communication throughout the year; amount and type of club activity throughout the year.

c) Club Person of the Year (1st)

      • Awarded to a person for outstanding service to their particular Club or Society or to CSE Clubs & Societies as a whole.

      • Factors that will be considered by the Award Committee will include: Commitment to their Club, Society and/or the C&S Program; Amount of time dedicated; Role(s) fulfilled and standard to which the role(s) is/are fulfilled; Commitment, time and effort given to, and commitment given above and beyond their responsibility; Ideas, Thought and Support provided; Adherence to Club or Society Constitution, UniCentre / CSE affiliation guidelines, and faculty and/or Organisation or Affiliated Body requirements (if applicable).

d) Service Club of the Year (1st)

      • Awarded to a Club or Society for outstanding Service to Fundraising and/or Community Service Efforts.

      • Factors that will be considered by the Award Committee will include: Event(s) organised to support charity; types of organisation(s) selected to support and reasoning for supporting them; Frequency and size of fundraiser(s)/event(s); Any additional methods of support given (raising awareness of organisation and/or issue(s), providing volunteer labour to the organisation(s) etc); Contribution and Impact of the efforts made by the Club / Society; Teamwork and communication displayed by club; Inclusion and commitment of all committee/executive members and inclusion of club members to fundraiser(s)/event(s).

Conduct of the Awards Committee

    13. In making an award, the committee shall consider relevant written evidence and testimonials etc which it sees fit.

    14. All members of the Awards Committee must endeavour to judge without bias, and in an equitable and fair manner.

    15. Members of the Awards Committee shall be ineligible for nomination or to nominate or second a person or club for nomination. Those wishing to nominate a member of the Awards Committee must ask them to step down from the Awards Committee if they wish to proceed with the nomination.

    16. In the event of a club or society being nominated for an award, and one of the Award Committee members is involved in that Club or Society in an executive or committee position, that Awards Committee person shall not have speaking or voting rights for the consideration of the award in which they or their club is nominated for, and will be requested to step down from the Committee for the discussion and voting of the relevant award(s).

Announcement of Winners

    17. The decisions of the committee will be announced at the CSE Annual Clubs & Societies Awards Night.

No Obligation to Give an Award

    18. The committee is not obliged to make an award in each or any category if there are no nominations which the committee believes are of suitable merit.

Awards Committee Decisions are Final

    19. The decision of the committee shall be final and no correspondence will be entertained.

Written Feedback Accepted

    20. Written feedback regarding the running of the Awards Night, the prize categories and criteria used for selection of award recipients will be accepted by the Clubs & Societies office.
